1. Who We Are & What This Covers
Shaxi Limited is based in Accra, Ghana. This Privacy Policy applies to everything you do across the Shaxi app and website, including:
- Ride-hailing — booking and taking trips, and (for drivers) providing trips.
- Buy & Sell — our marketplace for posting and browsing listings, messaging, and reviews.
- Jobs — posting jobs, applying to jobs, saving jobs, and job alerts.
- Shaxi Wallet & payments — your wallet balance, top-ups, payments, and invoices.
We act as the controller of the personal data described here. We comply with Ghana’s Data Protection Act, 2012 (Act 843), and you can raise concerns with the Data Protection Commission of Ghana (see “Your Rights & Choices”).
2. Information We Collect
We only collect what we need to run the services you use. Depending on which parts of Shaxi you use, this can include:
2.1 Account & identity
- Account details: your name, phone number, email address, and a password. You may also add a date of birth, gender, profile photo, preferred language, and emergency contacts.
- Identity verification (KYC): where verification is required, we may collect your Ghana Card number and photos of your Ghana Card. For drivers, we also collect a driver’s licence and vehicle documents (registration, insurance, roadworthy certificate) and vehicle photos.
- Communications: messages you send us through support, surveys, or feedback, and any content you submit such as reviews and ratings.
2.2 Ride-hailing
- Trip details: pickup and drop-off locations, the time of your request, route, distance, duration, and fare.
- Live location: while a trip is active, we collect precise GPS location from the app to connect riders and drivers and to support safety. Location collection for a trip stops when the trip ends and you can control location permissions in your device settings.
- Trip history and ratings for completed trips, including feedback you leave.
2.3 Buy & Sell (marketplace)
- Listings: the title, description, price, category, photos, and the location and contact details you choose to publish.
- In-app messages between buyers and sellers, and records of when a buyer reveals a seller’s phone number.
- Store profile and reviews you create or receive.
2.4 Jobs
- Job applications: the name, phone number, email, cover note, and CV (file upload) you submit to an employer.
- Employer profiles, saved jobs, and job alerts (the search criteria you choose to be notified about).
2.5 Payments & wallet
- Wallet and transactions: your wallet balance and a history of transactions (top-ups, payments, earnings, refunds, fees) with amounts, dates, and references.
- Payment details: when you pay by mobile money or card, the payment is handled by our licensed payment partners. We receive a transaction reference and status — we do not store your full card number. See “Payments & Wallet” below.
2.6 Device & technical information (collected automatically)
- Device data: device type and model, operating system and app version, a device identifier, and a push-notification (FCM) token so we can send you notifications.
- Usage and log data: how you interact with the Service, your IP address, approximate location derived from your IP, and login activity (including failed sign-in attempts) which we keep to protect your account.
- Cookies and similar technologies on the website (see section 6).
3. How We Use Your Information
We use your information to:
- Provide the services you ask for — connect riders and drivers, run marketplace listings and chat, process job posts and applications, and operate your wallet and payments.
- Keep the platform safe — verify identities, detect and prevent fraud and abuse, and respond to safety incidents.
- Support you — answer your questions and resolve disputes.
- Communicate with you — send service updates and, where you have opted in, promotional messages.
- Improve the Service — understand how features are used and develop new ones, generally using aggregated or de-identified data.
- Meet legal obligations — keep financial records and comply with applicable law.
In plain terms, we rely on the following grounds to use your data: to perform our agreement with you (to deliver the service), with your consent (for example, location, marketing, or optional features), to meet our legal obligations, and for our legitimate interests in running a safe, reliable platform — balanced against your rights.
5. Payments & Wallet
Payments by card or mobile money are processed by our licensed payment partners (Paystack and Hubtel), who are responsible for securely handling your card or mobile-money details. We never see or store your full card number — we keep only the transaction reference, amount, and status needed to credit your wallet, complete your payment, and produce invoices and receipts. Your wallet balance and transaction history are stored so you can track your activity.
7. Data Retention
We keep your information only for as long as we need it for the purposes described in this policy, and then delete or de-identify it. In practice:
- Account information — for as long as your account is active.
- Transactions, wallet, and invoices — kept for longer where we must retain financial records by law.
- Identity/KYC documents — kept while you use the relevant service and as required by law.
- Trip history — kept to support billing, safety, and dispute resolution.
- Marketplace listings and messages — kept while active and for a period afterwards for safety and disputes.
- Job applications and CVs — kept until you withdraw the application or the job closes; you can delete an application at any time.
- Device tokens and security logs — kept until you log out or remove a device, and for a limited period for security.
8. Your Rights & Choices
You can:
- Access and correct your account information at any time in the app’s settings, or by contacting us.
- Delete your account and data from the app, or by emailing us. We may keep limited information where the law requires it (for example, financial records) or to resolve disputes.
- Object to or restrict certain uses of your data, and ask for a copy of the data you provided to us.
- Opt out of marketing using the unsubscribe link in our emails or in your profile settings.
- Control location and notifications through your device settings; turning off location may limit ride-hailing features.
If you have a concern we cannot resolve, you have the right to lodge a complaint with the Data Protection Commission of Ghana.
9. Data Security
We use reasonable technical, administrative, and physical safeguards to protect your information from unauthorised access, loss, or misuse — including encryption of stored documents, hashed passwords, and access controls so that only authorised staff and partners can access data, and only to do their job. No method of transmission or storage is completely secure, but we work to protect your data and to respond quickly if a problem occurs.
10. International Data Transfers
Shaxi operates in Ghana and our services are intended for users in Ghana. Some of the service providers we rely on (for example, payments, push notifications, storage, and maps) process data on servers outside Ghana. Where that happens, we take steps to ensure your information remains protected and is handled in line with this policy.
11. Children’s Privacy
The Service is intended for people aged 18 and over. We do not knowingly collect personal information from anyone under 18. If we learn that we have, we will delete it.
12. Automated Processing
We use automated systems to help run the Service — for example, to match new jobs to your job alerts, to rank search results and listings, and to detect fraud and abuse. These tools help us deliver and protect the Service and do not make decisions that produce legal effects about you without human involvement. We do not use your personal data to train third-party AI models.
13. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will post the updated policy here and, where appropriate, notify you in the app. The “Effective Date” at the top shows when it was last updated. Please review it periodically.
